Overview
Microsoft 365 (formerly Office 365) includes Word, Excel, Outlook, Teams, OneDrive, and more. This guide covers installation on a new Windows PC, Mac, and mobile device.
Step 1 โ Sign In to the Microsoft 365 Portal
- Go to portal.office.com
- Sign in with your work email address and password
- If prompted, complete multi-factor authentication (MFA)
Step 2 โ Install Office Apps on Windows or Mac
- Once signed in to the portal, click Install apps in the top right corner
- Select Microsoft 365 apps
- The installer downloads โ run it and follow the prompts
- Installation takes 5โ15 minutes depending on internet speed
- When complete, open any Office app and sign in with your work account
๐ก You can install Microsoft 365 on up to 5 devices per licence (PCs, Macs, tablets, phones).
Step 3 โ Set Up Outlook for Email
- Open Outlook
- Click File โ Add Account
- Enter your work email address and click Connect
- Outlook will auto-detect the server settings โ enter your password when prompted
- Complete MFA if required
- Click Done โ your email will begin syncing
Step 4 โ Set Up Microsoft Teams
- Download Teams from teams.microsoft.com/downloads or install from the Microsoft 365 portal
- Sign in with your work Microsoft 365 account
- Allow microphone and camera access when prompted
- Teams will show your organisation's channels and chats
Step 5 โ Set Up OneDrive Sync
- Open OneDrive (pre-installed on Windows 10/11, or download for Mac)
- Sign in with your work account
- Choose which folders to sync to your computer
- Files will now appear in File Explorer / Finder under OneDrive โ [Company Name]
Step 6 โ Mobile Devices (iOS / Android)
Download the individual apps from the App Store or Google Play:
- Outlook Mobile
- Microsoft Teams
- OneDrive
- Microsoft Authenticator (required for MFA)
Sign in with your work email in each app. Your IT admin may require you to enrol your device in Intune (mobile device management) โ you will be prompted automatically.
